Accounting & QuickBooks
Your books next to your pipeline: reconciliation, bank, client accounts and approved QuickBooks changes.
Elio reads your QuickBooks company, checks it against your rental system and the payments Elio knows about, and shows you where they disagree. It only writes to QuickBooks when you approve each change.
Connect your books
- Connect QuickBooks Online from Integrations (or during the guided setup).
- An owner or admin chooses which connection is the company’s books in Pipeline settings → Integrations → Company books (QuickBooks), and sets the accounting basis (accrual or cash) and fiscal year start.
Not using Flex? Choose We don’t use Flex — QuickBooks only in the guided setup and the Pipeline works from your QuickBooks estimates and invoices.
Elio keeps a read-only copy of your customers, invoices, payments, credit memos, bills, purchases, accounts, deposits and bill payments, refreshed every 15 minutes by default. Change the interval or run a sync in Sync Hub.
Books
Money → Books has six tabs. Nothing on these tabs writes to QuickBooks.
| Tab | What it shows |
|---|---|
| Overview | Cash, profit and loss, receivables in Flex versus QuickBooks, and open differences. |
| Reconciliation | Every invoice side by side in Flex, in Elio’s recorded payments and in QuickBooks, for about the last 13 months. Use Match or Change to link the right QuickBooks invoice and Ignore to hide a difference with a note. Export to CSV. |
| Bank | Your bank transactions (through Plaid) against the books for the last 30 to 120 days: matched, ambiguous, grouped deposits, and items only in the bank or only in the books. |
| Customers | Link Pipeline clients to QuickBooks customers, with suggestions. |
| Payments | Payments recorded in QuickBooks, filterable by client, deal or project. |
| Financial statements | Reports built from your books on your accounting basis. |
Deals, projects and client pages also show their QuickBooks side, with shortcuts to reconcile or link the customer. Matching, ignoring and bank mapping are for owners and admins.
Client accounts
Money → Accounts lists what each client owes: total receivables, overdue, over 60 days, accounts on hold and invoices not assigned to a client. Filter by overdue, over credit limit, on hold or missing billing contact, and export to CSV. Credit-hold rules (which balance to use and whether a hold blocks warehouse release) are in Pipeline settings → Integrations → Credit holds.
Letting agents prepare QuickBooks changes
An owner or admin can turn on Let agents prepare changes in QuickBooks. Agents can then prepare estimates, invoices (including from an estimate), purchase orders, bills, received payments and bill payments, and send estimates or invoices from QuickBooks. Each change — up to 100 lines — waits in approvals until an owner or admin approves it, and expires after 14 days. Approving the same change twice never creates it twice.
Exporting to QuickBooks by file
If you prefer to import yourself, a project’s Settlement tab has a QuickBooks export: bills as CSV (QuickBooks Online) or IIF (QuickBooks Desktop), and payments as CSV. Only missing leaves out what is already in your books.
Bank connections
An admin adds the company’s Plaid keys in Integrations → Bank accounts (Plaid). Accounts are connected from Finance → Bank. Agents can read balances and transactions; they never move money.
Keeping Flex in sync
Sync Hub (Pipeline → More) shows each Flex list — quotes, purchase orders, invoices, inventory — with its last run, its interval (pick a preset or type your own) and Sync now. Sync health lists records where Flex and Elio disagree and how fresh each list is. If a list shows Missing Flex definition ID, set it in Pipeline settings → Integrations.
Ask Elio
- “Which invoices are paid in Flex but still open in QuickBooks?”
- “Which clients are over their credit limit?”
- “Prepare the invoice for Q-1042 in QuickBooks.” — it waits for your approval.
