For AV, staging & event rental companies on Flex
The AI back office for rental companies. Flex, QuickBooks and your inbox — finally talking.

Elio
2 confirmed jobs this week have no invoice yet ($18,400). I drafted the reply to Atlas Productions — want to review it?
Sound familiar?
The work that falls between Flex, the books and the inbox.
Quotes that go out incomplete
No ship method, no client PM, no event dates — found when the truck is loading. Elio audits every Flex quote and lists what's missing.
Confirmed jobs with no invoice
Elio matches Flex against QuickBooks and shows what's booked but not invoiced, invoiced but unpaid, and where the numbers disagree.
Client emails waiting on you
Elio reads your inbox, links threads to the right quote and drafts the reply. You approve it in one tap.
What Elio does
Built around how rental companies actually run.
Not a generic chatbot: Elio knows what a production quote, a load-out and a PO are, and works on your real Flex and QuickBooks data.
Your Flex pipeline, live
Quotes, invoices, purchase orders and inventory sync from Flex every few minutes. One board, filters that make sense, no exports.
Quote completeness checks
Every quote scored against your rules: dates, crew, shipping, return, tax, client contacts. Fix it before it reaches the warehouse.
Flex ↔ QuickBooks reconciliation
Booked vs invoiced vs paid, A/R by client, divergences flagged. Read-only by default; changes only with your approval.
Inbox triage and drafted replies
Gmail or Outlook. Elio sorts what matters, drafts answers with the quote context and waits for your OK.
Morning briefing
What's loading out today, which quotes went quiet, what's overdue and who's waiting on an answer — before your first coffee.
Agents per department
Sales follow-ups, finance reconciliation, ops readiness. They work in the background and ask before anything irreversible.

A guided setup walks you through each step and checks it as you go. Prefer to do it together? We’ll set it up with you on a call.

Your Flex address and a key. Stored encrypted.

Trust
Your systems stay yours.
Elio works alongside Flex and QuickBooks — it doesn’t replace them, and it never acts behind your back.
Your books, your approval
Read-only by default. If you allow changes, every one waits for an owner or admin to approve the exact document.
Approval before writes
Anything that changes Flex or sends an email waits for a yes from you.
Encrypted credentials
API keys and tokens are encrypted at rest and never shown again.
No training on your data
Your quotes, books and emails are never used to train AI models.

Questions
What rental companies ask us.
- Do I need to change how we use Flex?
- No. Flex stays your system of record. Elio reads from it on a schedule and only writes when you explicitly approve an action (for example, creating a quote you drafted with Elio).
- Can Elio change anything in QuickBooks?
- Only if you allow it, and only with your approval. By default Elio just reads invoices, payments, bills and reports. An owner or admin can let agents prepare estimates, invoices, POs, bills and payments — each one waits in your approvals with every line shown, and nothing reaches QuickBooks until an owner or admin approves it.
- Where do I get a Flex API key?
- A Flex administrator creates it for a user. We recommend a dedicated user for Elio so you can revoke it any time. Our setup guide walks you through it, and we can do it with you on a call.
- Who sees our data?
- Only the people in your workspace. Credentials are encrypted, your data is never used to train AI models, and you can disconnect any integration at any time.
- How long does setup take?
- About 10 minutes with the guided setup: email, Flex, your Flex lists, QuickBooks and a first sync. The first full sync then runs in the background.
- Does it work with Outlook / Microsoft 365?
- Yes. Elio works with Gmail and Google Workspace or Outlook and Microsoft 365, including calendars. Some Microsoft 365 companies need an IT admin to approve the app once.
